Privacy Policy

Last updated: July 28, 2025

Welcome to Shop Decality! We are a small Bahamian e-commerce business, and your privacy is important to us. This Privacy Policy explains what personal information we collect from you, how we use and protect it, and your rights regarding that information. We only serve customers in The Bahamas, and we handle all data in accordance with local laws and good privacy practices. By using our website or communicating with us (including via WhatsApp), you agree to the terms of this Privacy Policy.

1. Personal Data We Collect and How We Collect It

We collect personal information when you provide it to us directly (for example, by placing an order or contacting us) and through your interactions with our website (such as via cookies). This includes:

Contact Information: Your name, email address, telephone/WhatsApp number, and shipping address that you provide when placing an order or contacting us with inquiries. This helps us identify you and communicate with you about your orders or questions.

Order and Payment Information: Details you provide when making a purchase, such as the products you order and payment information. For online payments, you will enter credit/debit card or other payment details. We do not store your full card information on our systems; payments are processed securely by our third-party payment processors. (For example, if you pay online, your card details are handled by services like PayPal or Stripe, not by Shop Decality itself.)

Messages and Correspondence: Copies of communications you send us (such as emails or WhatsApp messages) and any information you choose to give when you contact us. For instance, if you order via WhatsApp, we will receive whatever personal details you include in your message (like your name and address for delivery).

Website Usage Data: Like most websites, we collect some data automatically when you visit our site. This may include your IP address, browser type, and information about how you navigate our pages. We mainly gather this through cookies and similar technologies to help the site function and to learn how users use our site (see Cookies and Analytics below).

We do not intentionally collect sensitive personal information (such as racial or health data) or information from children under 13. Our services are intended for general audiences and not directed to children.

2. How We Use Your Information

We use the personal data we collect only for legitimate business purposes and to serve you better. Specifically, we may use your information in the following ways:

To Process Orders and Deliver Products: Your name, address, and payment details are used to fulfill your orders – for example, to process your payment and ship your decals or stickers to you.

We’ll also use your contact information to send you order confirmations, receipts, and updates on your order status.

  • To Communicate with You: We may use your email or phone number to contact you about your orders or respond to questions you ask. For instance, if there’s an update or issue with your order, or if you reach out via WhatsApp or the website, we’ll use your info to get back to you. We might also send you information about new products or special offers if you have agreed to receive such communications (you can opt out at any time).
  • To Improve Our Services and Website: The information about your interactions with our site (and feedback you provide to us) helps us understand what we’re doing well and what we can improve. We analyze overall trends – like which pages are visited most or how users navigate – to make the website easier to use and to decide what new products or features might be useful. For example, knowing that many customers are interested in a certain type of sticker could guide our future designs. We only use aggregated data for this (not your individual browsing history).
  • To Ensure Security and Prevent Fraud: We may use data (like your IP address or order history) to keep our website, business, and customers safe. This includes verifying transactions, monitoring for fraudulent activity, and making sure that our terms of service are being followed.
  • To Comply with Legal Requirements: In some cases, we may need to use or retain certain information to comply with laws and regulations (for example, maintaining transaction records for tax purposes).

We will not use your personal information for any purpose that isn’t disclosed in this Privacy Policy without obtaining your consent or unless required or permitted by law. If we ever need to use your data for a new purpose (like a new service or feature), we will update this Policy and notify you as needed.

3. Who We Share Your Data With

We understand that sharing your personal information is a sensitive matter. Rest assured: we do not sell or rent your personal data to any third parties. We only share your information with others in a few specific situations, all aimed at serving you or fulfilling legal obligations:

  • Third-Party Payment Processors: When you make a payment on our site, your payment details go directly to our payment processing partner (such as a credit card processor or PayPal). These third- party processors handle your card information securely and we do not retain your full credit card number or security code on our servers. (For example, if you pay by card, the payment form may be hosted by our payment provider, who processes the payment and then tells us it went through.) The payment processor only gives us limited information, like a confirmation that you paid and maybe the last four digits of your card for reference. All of our payment partners are reputable companies that use strong security measures; we recommend you review their privacy policies if you want more information on how they handle your data.
  • Delivery and Shipping Partners: In order to deliver your orders, we share the necessary details with our delivery partners. This typically includes your name, delivery address, and contact phone number (so the courier can reach you if needed). For example, if we use a postal service or courier to send you a package, the shipping label and order info will have your name and address, and possibly your phone/email for delivery updates. They will use this info only to get your purchase to you.
  • Service Providers Who Work for Us: We may also share information with trusted third-party service providers that help us run our business. This includes, for instance, our website hosting company, email service (for sending order confirmations or newsletters), or analytics providers that help us understand how our site is used. We only share what is necessary for them to perform their services. For example, if we use an email service to send out a newsletter you signed up for, that service gets your email address to send the mail. These partners are contractually obligated to keep your information confidential and use it only for our purposes – they cannot use it for their own marketing. We ensure any service providers we use have appropriate data protection standards. (In the future, this may include services like Google Analytics – see Cookies and Analytics below – which will collect usage information on our behalf to help us improve the website.)
  • Legal Requirements and Protection: We may disclose personal information if we are required to do so by law or valid legal process (for example, a subpoena or court order). We might also share information if we believe in good faith that it’s necessary to comply with laws, to enforce our website’s terms and policies, or to protect our rights or the safety of our customers or others. For instance, if required to cooperate with a government investigation or to prevent harm or fraud, we will share information as legally needed.

Aside from the cases above, we will not share your personal data with other outside parties unless you have specifically asked us to (or given consent). We do not sell, trade, or give away our customer lists or any personal details for anyone else’s marketing. Your trust is important to us, and we want you to know your information is safe with Shop Decality.

4. Data Storage and Protection

Keeping your personal information secure is a top priority for us. We use a combination of technical and organizational measures to protect your data from unauthorized access, loss, or misuse.

  • Secure Website Connection: Our website uses SSL (Secure Sockets Layer) encryption to protect any data you send through forms (for example, when you enter personal details or payment information during checkout). You can verify this by looking for the padlock icon in your web browser’s address bar and seeing that our URL begins with https:// . SSL encryption ensures that information transmitted between your browser and our website is encrypted and cannot be read by unauthorized parties.
  • Payment Security: As noted above, we rely on professional payment processors to handle transaction data. These companies are required to follow strict security standards (such as PCI-DSS, the Payment Card Industry Data Security Standard) to protect payment information. When you enter payment details, it is done on secure, encrypted pages. We do not store your full credit card information on our servers, and all sensitive payment data is securely handled by the payment gateway. This adds an extra layer of protection for your financial information.
  • Data Storage and Access Control: The personal information we hold (for example, your order details and contact info) is stored on secure systems. We use reputable hosting providers with strong security practices – including firewalls, malware protection, and access controls. Within our small team, personal data is accessed only by authorized personnel who need it to perform their duties (for example, preparing your shipment or providing customer support). All employees or contractors are trained to keep your information confidential.
  • Data Retention: We keep your personal data only for as long as necessary to fulfill the purposes described in this Policy. For example, we will retain order information to complete the transaction and then for a certain period for legitimate business or legal reasons (such as keeping records for warranties, returns, or tax obligations). After we no longer need your information, we will delete it or anonymize it so you can no longer be identified. For instance, if you ask us to close your account or there’s information we don’t need anymore, we will safely remove it from our systems, provided we are not required by law to keep it for a certain time.
  • No International Data Transfers (Local Service): Shop Decality is based in The Bahamas andcurrently serves only customers in The Bahamas. We generally store and process personal data within The Bahamas. We do not routinely transfer your personal information to other countries. In the event we use a service provider or tool that is based outside The Bahamas (for example, using a cloud email service or Google Analytics which might process data in the United States), we will ensure that appropriate safeguards are in place to protect your privacy. Our goal is to give your information the same level of protection wherever it is processed.
  • No Guarantee of 100% Security: While we strive to protect your data with all reasonable measures, no method of transmission over the Internet or electronic storage is completely foolproof. Therefore, we cannot guarantee absolute security. However, we can promise that we are constantly updating our security practices to adapt to new threats and we will promptly notify you and the relevant authorities if there is ever a data breach that poses a significant risk to your rights.

By using our services, you acknowledge that you understand these risks and are not holding us responsible for breaches that are beyond our control. If you have reason to believe that your data has been compromised (for example, if you suspect someone has accessed your account or received a suspicious communication purporting to be from us), please contact us immediately so we can help investigate and resolve the issue.

5. Cookies and Analytics

Cookies are small text files that our website (or third-party services used by our site) place on your computer or device when you visit. We use cookies and similar technologies to make our website work smoothly and to improve your experience. Here’s how we use them:

  • Essential Cookies (Website Functionality): Some cookies are necessary for the website to function properly. For example, when you add items to your shopping cart, we use cookies to remember what’s in your cart as you continue browsing. Similarly, if our site has a login or account feature, cookies might keep you logged in as you navigate pages. These cookies are generally required; without them, basic e-commerce features (like remembering your order) might not work.
  • Preference Cookies: We might use cookies to remember your preferences and settings. For instance, a cookie might remember which country or language you selected, or other choices to personalize your experience. This way, you don’t have to re-enter information each time you visit, and it helps us tailor the site for you.
  • Analytics Cookies (Site Improvement): We use cookies to collect information about how visitors use our website, in order to help us improve it. These cookies tell us things like which pages are visited most often, how people found our site, or if an error occurred on a page. The data collected is generally aggregated and anonymous – it does not identify you personally. For example, a cookie might track that “50 users visited the FAQ page this week” or that many users spend a lot of time on a certain product page. This information helps us understand user interests and spot ways to make the site better or more user-friendly.
  • Third-Party Analytics Services: In the near future, we plan to use Google Analytics (a popular web analytics service provided by Google) to gain more insights into our web traffic. Google Analytics uses its own cookies to collect data about how users interact with our site – such as what pages you visit, how long you stay, and what site referred you – and it compiles reports for us on these trends. The information collected via Google Analytics cookies is transmitted to Google’s servers (which may be outside The Bahamas, e.g., in the United States) and then we can review the analysis. Importantly, this data does not include direct personal identifiers like your name or email; it is mostly usage statistics. We will use this information to understand overall user behavior and improve our website and marketing. Google might also use the data it collects for its own analytics purposes. Note: As of the effective date of this Policy, we have not yet implemented Google Analytics, but we want to be transparent that we intend to do so. Once in use, Google Analytics will allow us to utilize trusted third-party services to track website information on our behalf. If you wish, you can read more about how Google Analytics works in Google’s own Privacy Policy. You will also have the option to opt out of Google Analytics tracking (for example, by using the Google Analytics Opt-Out Browser Add-on).
  • Other Third-Party Cookies: Currently, we are not running third-party ads or social media plugins that set cookies, beyond the analytics mentioned. If in the future we integrate content from other services that use cookies (for example, an embedded Instagram feed or a YouTube video), we will update this policy to reflect that. Those services may set their own cookies in accordance with their privacy policies.

Your Choices: When you first visit our site, you may see a notice about cookies. By continuing to use the site, you are agreeing to our use of cookies as described here. However, you do have control over cookies:

  • You can set your web browser to refuse cookies or to alert you when cookies are being sent. Each browser is different, so check your browser’s Help menu for instructions on how to manage cookies. You can also clear cookies that have already been set.
  • If you disable or reject cookies, please note that some parts of our website might not function properly. For example, you might not be able to use the shopping cart or remember your preferences, etc., and overall user experience could be affected. However, you will still be able to access the site and make purchases by contacting us if the online cart isn’t working due to cookies being off.

If we implement Google Analytics, and you don’t want to be included in Analytics data, you can use the Google Analytics opt-out tools. Additionally, some browsers have “Do Not Track” features; while our site does honor basic cookie preferences, if you have special concerns, you can reach out to us for assistance in opting out of any advanced tracking.

We do not use cookies to serve targeted advertising at this time, and we do not collect through cookies any sensitive personal data. All cookie usage is aimed at providing a convenient, safe, and improved service for you.

6. Your Rights Regarding Your Personal Data

We want you to be in control of your own personal information. Under data protection principles (and our company policy), you have several important rights:

  • Right to Access: You have the right to ask us for a copy of the personal information we hold about you. This is sometimes called a “data access request.” We will provide you with a summary of the data we have about you, and we’ll do so within a reasonable time. This is free of charge (unless you request additional copies or excessive requests, in which case a small fee may apply). For example, you can ask “What information do you have about me?” and we will give you the details – typically, this would be things like your contact info and a history of your orders or communications with us.
  • Right to Correction: If you believe that any of the personal information we have about you is incorrect or incomplete (for instance, you changed your phone number, or we misspelled your name), you have the right to request that we correct or update it. We encourage you to keep your information up to date, and we will gladly fix any inaccuracies.
  • Right to Deletion: You can request that we delete your personal data. This is sometimes called the “right to be forgotten.” For example, if you no longer want us to have your contact info on file, you can ask us to remove it from our records. Do note that we might need to retain certain information if it’s required for us to complete an order you placed or if retention is mandated by law (for example, we usually must keep transaction records for a certain number of years for tax and accounting purposes). But if you request deletion, we will remove what we can and let you know if anything must be kept and why. We’ll also make sure that, if applicable, your data is removed from any third- party services we use (like mailing lists) whenever possible.
  • Right to Withdraw Consent: In cases where we rely on your consent to use your data (such as if you signed up for a marketing newsletter), you have the right to change your mind and withdraw that consent. For instance, if you agreed to receive promotional emails, you can opt out later (each marketing email from us will have an “unsubscribe” link, or you can contact us directly to be removed). Once you withdraw consent, we will stop the specific use of your data that was based on consent.
  • Right to Complain: We aim to resolve all privacy concerns directly and amicably. If you have a concern or complaint about how we handle your data, please tell us and we will do our best to address it. If you’re not satisfied with our response, and if you are in The Bahamas, you have the right to lodge a complaint with the Office of the Data Protection Commissioner (the authority that oversees personal data matters in The Bahamas). We sincerely hope that will never be necessary and that we can resolve any issue together.

To exercise any of these rights, you can contact us using the information in the next section. We may need to verify your identity before fulfilling certain requests (for your protection, we wouldn’t want to give your data to an impostor). For example, if you email us from the address we have on file, that helps verify, or we might ask for an order number or other info to confirm who you are. We will respond to your requests as quickly as we can, and certainly within any timeframe required by law.

7. How to Contact Us

We welcome your questions, concerns, or feedback about privacy. If you:

  • want to access, correct, or delete your data,
  • have any questions about this Privacy Policy, or
  • have a concern about how your information has been handled,

please do not hesitate to contact us. Here’s how you can reach us:

Shop Decality Privacy Team
Email: shopdecality@gmail.com Phone/WhatsApp: +1 (242) 826-7974

When you contact us, please provide as much detail as possible about your request or question. For example, if you are requesting a data copy, it helps to mention what type of interaction you’ve had with us (order number, dates, etc.) so we can locate your information more easily. We will address all legitimate requests and queries and get back to you promptly, typically within a few business days.

If you’re contacting us to exercise any of your rights, you will not be treated differently (e.g., we won’t refuse service or charge you just because you made a data request). Your privacy and satisfaction are very important to us, and we appreciate the opportunity to make things right or improve our practices.

8. Effective Date and Updates to This Policy
Effective Date: This Privacy Policy is effective as of July 28, 2025. It applies to all personal data we currently have about you and your interactions with our company.

We may update or change this Privacy Policy from time to time, especially as our business or legal requirements evolve. If we make material changes (significant changes) to how we collect, use, or share your personal information, we will notify you by updating this Policy on our website and adjusting the effective date. We encourage you to review this Privacy Policy periodically to stay informed about how we are protecting your information. If the changes are substantial, we may also provide a more prominent notice (such as a banner on our site or an email notification, if appropriate).

Whenever we update the policy, the latest version will be available on this page, and the revision date will be changed so you can see when it was last modified. By continuing to use our services after a Policy update, you will be considered to have accepted the changes. If you do not agree with any changes, you should stop using the site and contact us if you have concerns.

We are committed to safeguarding your privacy and will not make retroactive changes – i.e., we won’t use previously collected information in a new way without your consent.

Thank you for taking the time to read our Privacy Policy. We hope it has clarified how we handle your personal information. We value the trust you place in Shop Decality, and we will work hard to keep that trust. If you have any questions or need any clarification, please reach out to us. Your privacy matters, and we are here to help.

Happy shopping, and thank you for supporting our Bahamian small business!
